QA Coordinator Role Description

We invite applications for the role of QA Coordinator to support the work of Quakers Australia, the body representing the Religious Society of Friends (Quakers) in Australia.

Role

This is a key role which provides assistance and support to the QA Presiding Clerk, the QA national gatherings, and other key committees and functions of QA. Key responsibilities include active engagement and wide liaison with the Quaker community, as well as coordinating papers, following up decisions, developing reports, and other duties as required.

The purpose of this role is to support the work of Quakers Australia (QA).

This is achieved by a variety of functions including:

  1. Supporting the work of the QA Presiding Clerk
  2. Supporting the Yearly Meeting gathering, Standing Committee and the Annual General Meeting, including liaison, coordinating papers, following up the implementation of decisions, developing any reports required (such as Documents in Retrospect), and organising travel itineraries as needed
  3. Liaising with the Regional Meeting (RM) clerks, the QA Communications & Publicity Manager, Quaker organisations and other stakeholders 
  4. Organising, maintaining and providing access to all documentation, including compliance documentation 
  5. Maintaining QA Archives including Dictionary of Australia Quaker Biography entries, under the guidance of the QA Archivist
  6. Supporting QA committees
  7. Maintaining list of QA and RM office holders and committee members.

Conditions

Remuneration Annual salary based on APS 6 for nominal hours of 21 per week on average over the year. The hours are to be reviewed after 1 year. There is provision for reasonable out of pocket expenses.

Leave pro-rata recreation leave, sick leave for each full year of appointment and all public holidays gazetted in the State or Territory in which the Coordinator resides.

The position arrangements allow for the person to live anywhere in Australia.

Skills, experience and personal qualities

Applicants are expected to be in sympathy with Quaker values, to demonstrate respect for the spiritual practices of Quakers, and to be prepared to further Quaker witness in the contemporary world as part of their role.

This position requires demonstrated excellent communication and active listening skills, as well as excellent interpersonal skills, including in online environments. Diplomacy and discretion are vital to this role. Proven ability to work with members in a member-based organisation would be an advantage. It is expected that applicants will have excellent office skills, including managing databases and conducting online conferencing.

Familiarity with the practices and organisation of Quakers would be a strong advantage; 
As this is a position of trust, the successful applicant will be required to provide working with children / vulnerable people and national police checks prior to commencement.

While there are support structures in place, it is expected that applicants will be able to discharge their responsibilities with minimal direct oversight.

Support for the position:
This position is answerable to the QA Presiding Clerk. The QA Presiding Clerk may delegate a Friend (or Friends) to help oversight employer/employee responsibilities and to provide support (Staff Liaison Friend). The Coordinator is also encouraged to establish a personal support group.
